Your Mission

We are looking for talented and passionate people to join our team. As part of our team, you will:

  • Calendar and Schedule Management: Efficiently managing the complex calendars of both the CEO and COO, ensuring meetings, appointments, and deadlines are well-organized and prioritized
  • Travel Coordination: Arranging seamless travel plans, accommodations, and itineraries for both executives, taking into account preferences and optimizing time efficiency
  • Communication Liaison: Serving as the primary point of contact and gatekeeper for all internal & external communications, screening and prioritizing emails, calls, and messages with utmost professionalism
  • Meeting Support: Preparing meeting materials, coordinating presentations, and documenting meeting minutes for follow-up actions
  • Project Assistance: Collaborating with other team members to provide support on various departments and projects ensuring deadlines are met and objectives are achieved

What you need to succeed

 

  • Experience: 3+ years experience as an executive assistant, personal assistant, or in a related role is highly desirable
  • Organization Skills: Excellent organizational skills and the ability to manage multiple tasks with a high level of attention to detail
  • Confidentiality: Demonstrated discretion and the ability to handle sensitive information with confidentiality
  • Communication: Strong written and verbal communication skills, with the ability to effectively interact with internal and external stakeholders
  • Proactivity: A proactive approach to problem-solving, anticipating needs and finding solutions before issues arise
  • Adaptability: Ability to thrive in a dynamic and ever-changing environment, adapting quickly to new challenges and priorities
  • Tech Savviness: Proficiency in Office 365 Web Suite and other relevant tools (Slack, Miro, Absence.io)
  • Language Skills: Fluency in German and English required

How the process might continue after the application

  1. Review of documents / online test: If your application has convinced us, we will invite you to an online test. The task depends on the apprenticeship you are aiming for.
  2. Video interview: After a successful test, the next step is the video interview with our HR. Here we would like to get to know you and learn more about you. Schedule about 15-30 minutes for the interview.
  3. Team introduction interview: This is followed by the final step: getting to know each other in person with the team and your possible colleagues. We meet via video conference and take a lot of time for this – also to answer your questions.
  4. Offer & hiring: A few days after the team introduction interview, you will receive personal feedback from us. If we are a good match, we would be delighted if you became a Qilin.
